A contract engineer closes a two-week sprint. Finance wants hours by project code. Chat logs are chaos; the calendar is not.

Ambiguous titles bite later

Project time buried in generic “coding” events cannot be sorted later. The export will faithfully reproduce the ambiguity.

Encode projects upstream

Use one calendar per project or strict prefixes, export the period, then filter the Calendar or Title column in Excel.

  1. Encode project identity in the calendar

    Separate calendars or strict title prefixes—pick one system and stick to it for the engagement.

  2. Export the full reporting window

    Use the same start and end the contract or portal expects, including partial weeks if required.

  3. Filter in the spreadsheet

    Use the Calendar or Title column to split projects after export.

  4. Upload or paste into the portal

    Map columns carefully; do not assume the raw CSV matches their template without a glance.

Contractors do not need another SaaS identity

Many contractor portals already demand a spreadsheet. Adding a cloud tracker just to produce that spreadsheet is optional complexity—especially when the schedule already exists on the phone you carry on-site.

Naming is the real “integration”

I have used “P1:” and “P2:” prefixes when a client forbade separate calendars. Ugly, effective. Separate calendars are cleaner when politics allow. Either way, decide before the sprint starts—not at invoice time.

  • One calendar per SOW when possible
  • Stable prefixes if you must share a calendar
  • Avoid identical titles across projects
  • Re-export after renames rather than patching old CSVs forever

After the file exists

Sort by title or calendar, total the subsets, paste into the portal fields. The app does not log into agency software or invent project codes. That handoff is still human—and that is fine.

Can Calendar2XL split hours by project automatically?

No automatic classification. It exports what you scheduled. Splits come from calendars, titles, or filters you apply afterward.

Is this an agency timesheet system?

No. It is a single-user export utility. Approvals, rate cards, and multi-user dashboards are out of scope.

XLSX or CSV for contractor portals?

CSV when the portal is picky. XLSX when a manager will open and skim before approval.
