Daily work-hour summaries from Apple Calendar

Monthly totals hide the plot. Daily summaries show which days did the heavy lifting—and which days are suspiciously blank.

Written for Anyone reviewing day-by-day load. Updated 2026-08-05.

Before the monthly package goes out

Before sending a monthly package, a freelancer wants to know whether the hours piled onto three days or spread sanely.

One number hides blank Wednesdays

A single monthly number cannot reveal missing Wednesdays or accidental 14-hour Fridays.

Read the shape of the days

Export with daily summary, scan for empty and extreme days, fix the calendar if needed, re-export.

A two-minute summary pass

  1. Export the period with daily summary included

Do not settle for a single total if you care about shape.

  2. Mark empty and extreme days

Two minutes with a highlighter—mental or real.

  3. Fix source events if needed

Then re-export instead of editing twenty summary cells by hand.

How to read a daily summary without overthinking it

Look for zeros on days you worked. Look for spikes that came from multi-day events split at midnight. Look for clusters of short meetings that still ate the afternoon. Those three reads beat rereading the monthly total.

Midnight splits are features

Events that cross midnight appear across local days so each day stays understandable. If that looks like “duplication,” open the detail rows before changing anything.

When daily totals only is enough

Privacy mode can ship day-level load without event titles. Perfect for coarse capacity reports. Poor for “which meeting was that?” debates—use full detail when the debate is likely.

Blank days are usually the tell

Spikes look dramatic. I care more about blank weekdays in a month I supposedly worked steadily. Those blanks are either forgotten time off—or work that never hit the calendar and is about to go unbilled.

What daily view is for

  • Daily shape matters more than a lone monthly number.
  • Empty days often mean missing calendar entries.
  • Midnight splits need a calm read.
  • Privacy can stop at daily totals when titles are sensitive.
